2023 REGISTRATION

1) READ THESE INSTRUCTIONS, THEN:

  1. Select the appropriate link at the bottom of this page under Register Here and make your selections; and
  2. Complete the Payment form.
  3. You will receive a confirmation email with a Group Discount Code for the Ashland Hills Hotel & Suites and Windsor Hotel. Make your hotel reservation directly with the available hotel as early as possible due to the limited discount block. They need the code to reserve your room.

2) NOTE THE DEADLINES!

  • General Registration opens –3 January 2023
  • Volunteer Registration deadline – refer to your Acceptance Letter
  • Cutoff Date for Buffet Luncheon Reservations – 5 June 2023
  • Cutoff Date for Ashland Hills Hotel Reservations* – 18 May 2023
  • Cutoff Date for Windsor Hotel – 3 May 2023

*Note: due to the limited block of rooms they are prioritized for confirmed conference registrants only – the hotel Discount Block Code needed to reserve a room, will be provided in your confirmation email once you are an approved volunteer, presenter or register for the conference.

3) JOIN IASD TO REGISTER AT MEMBER RATES!

Conference discounts for members, in the range of 10% to 15% less than non-member fees, will pay for most of your membership fee.  For example: an individual general membership $100 membership fee can save up to $80 on the conference, depending on registration category; and a student/limited-income membership of $65 could save $40 on the conference. 4) ARE YOU REGISTERING A COMPANION AS WELL?

There are provisions on the registration form for ordering a second meal or event tickets for a companion who is NOT attending the conference. For additional companions or for those who ARE attending the conference, they should fill out a separate registration form.

5) MAKE LODGING RESERVATIONS DIRECTLY WITH THE HOTEL

Go to the Lodging/Meals for reservation instructions, prices, hotel and room descriptions and other information. If you go to that page now, please return to this Registration page to complete your conference registration because you will need the Group Discount codes that will come in your registration confirmation e-mail in order to book your room.

  • The Conference Site Hotel – Ashland Hills Hotel & Suites. 110 room block for confirmed conference attendees at $100 to $115 per night. Online reservations https://www.reseze.net/servlet/WebresResDesk?hotelid=1512  or call 541.482.8310, when you receive the IASD Group Booking Code in your conference reservation confirmation email. Hotel is near full but call and ask for what is available since a few rooms may be available at a mix of discount plus regular rates for the dates you choose.  
  • The Windsor Hotel: overflow block of 20 rooms across the street, $150 per night for conference attendees. Call 541-488-2330 to register with the IASD Registration Number provided in your conference registration confirmation email.

  • Other area Hotels: 10 to 20-minute drive between Medford (airport) and Ashland. 
  • Ashland Commons Hostel: downtown Ashland 3.2 miles from conference.  Very low rates for booking with roommates.

5) ONLINE TRACK VIRTUAL ATTENDEE or PRSENTER REGISTRATION

This 4-day Online track is part of the 5-day 40th IASD Annual Conference and is open to both onsite and virtual attendees.  If you are an onsite conference attendee, attendance to the Online track is included in your conference registration (do not register for the Online track but rather choose the appropriate onsite registration button below).  If you wish to register as a VIRTUAL attendee or presenter for the 4-day Online Track – just click on the Online Track button at the bottom. The fees include all recordings of the Online Track – with an option to purchase full conference recordings.  CE Credits are provided by IASD. IASD is approved by the American Psychological Association to sponsor continuing education for psychologists. IASD maintains responsibility for this program and its content. Schedule and Program Information for the Online track can be found on general program Schedule at a Glance or in more detail on the Online welcome page landing.   Virtual registrants will be sent the Zoom Meeting link before the Online Track begins and a link for recordings shortly after the conference.

CONFERENCE FEES

Full Conference Fee (Onsite Attendees):

Included: The conference will be held from the evening of Sunday, 18 June through the evening of Thursday, 22 June 2023. The full conference fee includes conference presentations and workshops, keynotes, the opening and arts receptions, participation in the Psi Dreaming contest, and the Dream Ball.

Excluded from basic fee: transportation and lodging, plus meals, OSF play tickets and other items listed below which are reserved separately from the conference fees

Hybrid Track Fee (Virtual Attendees and Presenters):

Included: Hybrid Track schedule from Monday, 19June through Thursday, 22 June 2023. The Hybrid Track includes access to the two to three sessions per day marked as Hybrid on the schedule, including the invited research presenter and keynote, as well as Zoom recordings (audio and video) of these sessions.
Excluded in basic fee: option available on the registration form to purchase an add on of full conference recordings (all lecture-based sessions) plus CE fees.

Approved Presenters and Exhibiting Artists must register before 15 March 2023, or the date requested in your approval letter, to remain on the program. Fees are non-refundable after that date. Refunds before that date will be less a $100 processing fee.  If you registered earlier and your proposal/presentation was not accepted and you no longer wish to attend, you may request a full refund less a $40 transaction fee if done within 3 days of your notification of decline.

Student/Limited Income Rates
* Limited Income applies under $30,000 US annually.
* For Student rates, registration submission must include a copy of a full-time student I.D.
** Restricted Student Partial Scholarships and approved BIPOC Conference scholarships: these scholarships are limited to available funds and must be approved by IASD prior to registering at those scholarship rates. Student Partial Scholarships are intended primarily for full-time students of accredited colleges or universities who are accompanying a presenting instructor or where an instructor/advisor requests it as part of their education. For approval, a photo/scan of a full-time student I.D., plus a written/e-mail request from the instructor/advisor, must be sent to the IASD office at office@asdreams.org. To apply for a BIPOC Conference scholarship, go to the IASD Dreams & Ethnicity Portal. Note: scholarship awardees must be willing to help with a few hours of on-site volunteer activity (such as helping with the dream ball setup) if asked.

Exhibiting Artist Fee  

All submissions to the Call for Art will require a non-refundable Submission Fee of $40 which is paid on a separate Art Submission Fee Form which you will receive after you submit to the Call for Art. This fee is waived for those who have registered and paid for the main conference. If you are an Exhibiting Artist wishing to register for the main conference, you can register using the Presenters & Artists registration fee and forms (noting you are an Exhibiting Artist on the form).  To qualify, however, you must also submit a complete and quality submission to the Call for Art by the deadline requested in the Call for Art.  

Volunteer Fee

A heavily discounted $150 fee for volunteers who apply to work roughly 12 to 14 hours on site and have been approved. The fee this year includes all recordings (zoom based audio/video) and is in lieu of the above conference fees. Do Not check off the volunteer fee unless you have applied and received an approval letter first. An initial registration fee of $200 is required once your position is approved, $150 of which is your non-refundable volunteer fee and $50 of which will be reimbursed at the end of the conference once your assigned duties have been completed. Because the basic fee is non-refundable, please make sure you are fairly certain of your ability to attend (barring extreme circumstances) before you apply. All volunteers who have received approval must register and pay this fee by the deadline on their approval letter or will be removed from the roster. Those on the waiting list who pay the conference registration fee will be reimbursed the difference if they are later accepted as a volunteer. Due to the limited block of rooms, for best chance at staying at the conference site (Ashland Hills or Windsor) it is recommended you register immediately once approved (so you receive the Discount Block Code) then immediately register with the hotel for your lodging

Single Day Fees

Registration for one day of the Conference includes all general receptions for that day. Recordings, CE fees, single day lunch tickets and OSF play tickets are priced separately. Reservations must be made for the hotel separately as well. Note that the fee for Sunday or Monday includes both days.

IASD Member or Non-Member ($200)

Special Fee Arrangement:
if you have been approved for a special fee arrangement that is not specified here (Staff, Keynote, Invited Presenter, Scholarship, Media, Other) you will use the Special Pre-Approved form and be requested to note this in the Comments box.

RECORDINGS

Recordings will be Zoom based Audio & Video for those sessions that are recorded (most all lectures, keynotes, symposiums and panels). Workshops and certain arts events or session that requires personal information to be shared, will not be recorded.  Recordings are included as part of the conference fee for registrants and presenters who register for the full conference. For Hybrid Track registrants, hybrid track recordings are included as part of hybrid registrant and presenter fees.  For virtual or partial onsite registrants (such as single day registrants, single day presenters (if any) and scholarships) there is an option to purchase full conference recordings separately.  If you do not pre-reserve a recording, you may pay to reserve one at the conference registration desk.  Availability and pricing for Audio Only MP3 recordings to non-participants after the conference to be announced.

CE (CONTINUING EDUCATION)

CE Credits are provided by IASD. IASD is approved by the American Psychological Association to sponsor continuing education for psychologists. IASD maintains responsibility for this program and its content.  

IMPORTANT: IASD has now been approved to sponsor CE qualification for the 2023 conference. CE processing fees are $30 now available for those who have not already registered and paid by returning to the conference registration forms. Instructions for obtaining CEs during the conference will be sent out the week prior to the conference.  To receive CEs applicants will be required to fill out an online presenter evaluation form during or within 10 days after the conference for each CE qualified session you attend.

MEALS

Breakfast and Dinner is on your own. 

For those staying at the Ashland Hills Hotel & Suites and Winsor Hotel, a continental breakfast is included in your hotel reservation. At 9 am each morning coffee and tea service is provided in the conference foyer.   Dinner is on your own in many of the fine restaurants in the area. See Lodging/Meals page.  Dinner breaks will be roughly 2 hours to give you time.

Luncheon Buffet Tickets

For your convenience, ability to make the after-lunch sessions on time and the fun of lunching as a group, IASD is offering a Lunch Buffet. It must be pre-ordered on the registration form and offers options for a $28 single day or a 4-day (Monday – Thursday) package for $108 (all-inclusive based on $22/meal plus fee and tax). See the Lodging/Meal page for representative menu’s.  Special dietary selections are available by pre-order when you register if you specify them in the Dietary Selections box before you click the PROCEED button (please limit to vegetarian, vegan, gluten-free, or specific allergies).  

Note that the DEADLINE for pre-ordering meals and special meal orders is 5pm Pacific time, 5 June 2023.

Twelfth Night – Oregon Shakespeare Festival, Wed June 21

Special Group Pricing for tickets to the play Twelfth Night in the Elizabethan Theatre under the stars is a special IASD group event available for pre-reservation and purchase upon registration checkout. Maximum 2 tickets per registered conference attendee.


COMMENTS AND SPECIAL REQUESTS

The registration form includes a comment box for you to note any special needs.  Although IASD will do its best to meet such requests, it is not always possible to guarantee that a specific request can be met. Note that we make efforts to provide special seating in the events for those who have limited sight or hearing or need wheelchair access, so let us know on your registration form if you have those needs so that we can plan properly. If you have a specific question regarding facility access or meals, you may contact the hotel (see the Lodging page)

REFUND POLICY

Refunds for conference related fees will be subject to a $100 processing fee. NO REFUNDS are offered: after 15 March 2023 for approved Presenters; for the non-refundable portion of the Volunteer fee; nor any amount after 1 June 2023 for ANY registrant. Last minute cancellations, regardless of your situation, are subject to certain allocated expenses that may have already been paid to the Hotel, so please plan ahead and understand that it may not be possible to refund all of those costs. All cancellations or refunds for room and/or meal reservations made with your chosen Hotel are subject to hotel policies and must be resolved directly with the Hotel.
